Microsoft Office 365 is a great solution for all sizes of business, particularly SMEs. Microsoft used to make Small Business Server which meant you could have an email system (MS Exchange) installed on a server in your office. But one of the problems with this was that if your office internet connection went down, you would no longer be able to send or receive emails to or from anyone outside your business. It could also be a big headache if your server crashed.
Office 365 is a hosted solution which means that the system is in the cloud (or in several secure datacentres!). It’s built on an infrastructure that would be out of reach to any small business to implement. This means that their email system is available pretty much all the time. The other main advantage is that you pay per mailbox per month. So there are no huge fees to setup a server or upgrade it three years down the line. The costs are entirely predictable. Taking on another member of staff? That will be an extra £3.80 a month (depending on the subscription plan). Simple.
